Role Overview

Art Basel is seeking an Associate Project Manager, Unlimited to support the Senior Project Lead in the planning and delivery of the Unlimited sector. Working closely with the curator, Ruba Katrib, participating galleries, architects, contractors, and cross-functional Art Basel teams, you will play an important role in the successful realization of the exhibition.

As one of the main points of contact for participating galleries, you will support gallery relations throughout the project lifecycle—from application and selection through planning, installation, exhibition, and de-installation. The role combines project coordination, stakeholder communication, technical planning, and operational support to help deliver one of Art Basel's most ambitious exhibition sectors.

Your responsibilities

  • Support the Unlimited application and selection process in collaboration with the Senior Project Lead, the curator, the Selection Committee, and participating galleries.
  • Support and maintain relationships with exhibitors throughout the project lifecycle, providing guidance on planning, timelines, technical requirements, and operational processes.
  • Support invoicing, exhibitor contracts, and related accounting processes.
  • Coordinate communications with galleries regarding Art Basel's digital initiatives, including Art Basel Lens and Art Discovery, and support their implementation.
  • Prepare and distribute exhibitor communications, including notification letters, operational updates, move-in and move-out information, technical schedules, light and sound check schedules, project switch-on schedules, and waste management instructions.
  • Coordinate with the curator, architect, contractors, and participating galleries to support the architectural, technical, and logistical realization of projects.
  • Support the coordination of installation, operation, de-installation, and artwork collection with logistics partners, contractors, security providers, and on-site teams.
  • Support on-site project delivery and quality control to help ensure projects are delivered safely, on time, and according to Art Basel's high standards.
  • Coordinate the planning and implementation of exhibition signage, audio guides, public guided tours, Unlimited Night, and other visitor-facing initiatives.
  • Support marketing initiatives by identifying suitable projects for photography, video production, drone footage, and other promotional content.
  • Support the recruitment, scheduling, training, and on-site coordination of the Unlimited Mediators programme.
  • Maintain project schedules, budget tracking, reports, CRM data, statistics, and operational documentation.
  • Support the production and proofreading of the Unlimited catalogue, presentations, website content, press materials, signage, and other communication assets.
  • Participate in project meetings, prepare meeting minutes, and contribute to the continuous development and successful delivery of the Unlimited sector.

Your profile

  • min. 3 years of professional experience in project coordination, exhibition management, gallery relations, arts administration, or a comparable role.
  • Excellent organizational and project coordination skills, with the ability to manage multiple priorities while maintaining exceptional attention to detail.
  • Experience working with a wide range of stakeholders, including galleries, artists, contractors, and cross-functional teams.
  • Experience supporting budgets, quotations, contracts, and technical documentation.
  • Strong administrative skills and experience working with CRM systems and Microsoft Office; familiarity with CMS platforms is an advantage.
  • Excellent written and verbal communication skills in English; German and additional languages are an asset.
  • A proactive, collaborative, and solution-oriented mindset with the flexibility to thrive in a fast-paced international environment.
  • A genuine passion for contemporary art and a strong interest in delivering outstanding experiences for galleries, artists, collectors, and visitors.
