Job Description
Executive Support
- Manage the General Manager's calendar, ensuring effective prioritization of meetings, appointments, and business commitments.
- Coordinate domestic and international travel arrangements, including flights, accommodation, visas, transportation, and itineraries.
- Prepare meeting agendas, presentations, reports, briefing documents, and correspondence.
- Screen and manage incoming communications, ensuring timely responses and follow-up actions.
- Handle confidential and sensitive information with the highest level of discretion.
- Organize internal and external meetings, including preparation of materials, meeting logistics, and follow-up actions.
- Attend meetings as required, take minutes, and track action items to completion.
- Coordinate leadership meetings, management committees, and business reviews.
- Support the organization of company events, client meetings, off-sites, and executive visits.
- Act as a key liaison between the General Manager and internal/external stakeholders.
- Build effective relationships across departments and with external partners.
- Facilitate communication and ensure timely follow-up on key business initiatives.
- Prepare reports, presentations, dashboards, and executive summaries.
- Monitor deadlines and ensure follow-up on strategic projects and key deliverables.
- Assist with budget tracking, expense management, and invoice processing where required.
- Maintain accurate filing systems and business records.
- Support corporate governance activities and document management.
- Support strategic initiatives by tracking milestones, deadlines, risks, and actions.
- Coordinate cross-functional projects and ensure alignment between stakeholders.
- Monitor progress and prepare status updates for leadership review.
The Successful Applicant
Qualifications & Experience
Education
- Bachelor's degree in Business Administration, Management, Finance, Hospitality, or equivalent experience.
- Minimum 5 years' experience as an Executive Assistant, Personal Assistant, or Senior Administrative Assistant supporting executive-level leadership.
- Experience supporting senior executives in an international and fast-paced environment.
- Exposure to multinational organizations is highly desirable.
- Advanced knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
- Strong presentation and document preparation skills.
- Experience with ERP, expense management, and collaboration tools is an advantage.
- Exceptional organizational and time-management skills.
- Strong attention to detail and commitment to quality.
- Excellent interpersonal and communication skills.
- Ability to work independently and exercise sound judgment.
- High level of professionalism, integrity, and confidentiality.
- Proactive, solution-oriented, and resilient under pressure.
- Strong multitasking and prioritization capabilities.
- Fluent English and French are required
